Work Schedule: M-F, 2:30 PM - 11:00 pm, 30 min lunch

We are currently looking for a dedicated and detail-oriented 2nd Shift Meeting & Event Space Coordinator to join our team. This role is essential in ensuring that our meeting spaces are expertly managed, setting the stage for successful events, meetings, and functions.
Job Summary
Develops, coordinates and/or executes event planning. Coordinates events to facilitate effective presentation of programs or events.
Essential Functions
Performs public relations, sponsorship, hospitality, and/or project management for events. Coordinates all amenities, accommodations and/or production of materials and resources for events, as well as any associated contract negotiations. Maintains events calendar and/or records. May conduct post-event evaluations. Adheres to event budgets and/or maintains financial information.
Job Duties
Key Responsibilities:
• Oversee the scheduling and logistics of all meeting spaces, ensuring rooms are reserved, set up, and ready for use.
• Coordinate with internal teams and external vendors to provide necessary equipment and contacts for space use on Campus.
• Maintain meeting space schedules and ensure the efficient utilization of space.
• Communicate with clients and internal teams to determine meeting requirements and provide exceptional service.
• Ensure meeting spaces are clean, organized, and well-maintained.
• Handle last-minute changes or requests and resolve any issues promptly.
• Monitor and track the usage of meeting spaces, including usage statistics and room occupancy.
• Assist with event coordination as needed, ensuring all details are executed smoothly.
Required Education and Experience:
- High school diploma or equivalent
- One (1) year of experience in office, event coordination or related field
Knowledge, Skills and Abilities:
- Proven experience in event coordination, facility management, or a related role.
- Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines.
- Excellent communication and customer service skills.
- Proficiency in Microsoft Office and experience with scheduling and event management software.
- Ability to work independently as well as part of a team.
- Strong attention to detail and problem-solving abilities.
- A positive, can-do attitude and flexibility in a fast-paced work environment.
Preferred Qualifications:
- Bachelors in a hospitality related field.
- Additional years experience in a hospitality related field.
Additional Information:
This is a 2nd shift position with standard hours of M-F from 2:30 pm - 11:00 pm with a 30 min lunch. Those hours are somewhat flexible. For instance if the employee wants to work 2:30 - 11:30 with an hour lunch that is fine. There will be some weekends involved depending on the event schedule at the time. If a Saturday or Sunday shift is required the employee will be given the option of overtime, comp time or flexing a shift from earlier in the week. Employee will be working with another 2nd shift employee that operates out of a different facility. This position will be stationed in Woolsey Hall.
Anticipated start date is June 23, 2025
Physical Requirements:
Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information. Ability to move, transport, and/or deliver items, supplies, or equipment. Ability to move or traverse across campus, within buildings and offices, and/or across external environments. Ability to travel in a vehicle for distances including but not limited to across city, county, and state.
Additional Physical Requirement:
Light Work: Exerting up to 20 pounds of force occasionally and/or negligible amount of force to constantly move objects. Light work involves remaining stationary most of the time.
