Job Story
The Dental Hygiene Department is seeking an experienced Clinic Office Coordinator to join their team. This position is the face of the clinic and provides specialized and diverse administrative management for the program, supervisor, faculty, students, and patients. This position will work under general supervision of the Chair of the Department of Dental Hygiene and will be responsible for the day-to-day operation of the 24 chair/operatory patient serving clinic.
Job Summary
Supports the day-to-day operation of the clinic by providing administrative support, which may include front desk coordination, patient scheduling, billing, and collections.
Essential Functions
May confirm insurance coverage, determines necessity for pre-authorization and obtains authorization for scheduled procedures. Determines financial responsibility for services to be provided. Maintains detailed documentation in the patient account record of all billing activities. Maintains documentation of claims processed as part of the daily claims reconciliation process. May manage office supply and equipment purchases and repair. Provides support for front desk by assisting with appointment scheduling, phone calls, and patient collections, as needed.
Job Duties
The Clinic Office Coordinator supports the day-to-day operations of the clinic by providing administrative support, patient scheduling, billing and collections. This position works closely with the public, faculty, staff, and students.
Required Education and Experience:
- 60 hours of college coursework in related field
- Three (3) years of experience in medical office or related field
Required License/Certifications/Training:
None
Knowledge, Skills and Abilities:
- Ability to schedule appointments using software applications
- Ability to work effectively under time constraints in fast-paced, dynamic, multi-tasking environment.
- Ability to perform general administrative and accounting procedures including bill payment, supply ordering and management and clinic data tracking
- Demonstrated ability interfacing with the public in a personal and professional manner via face-to-face, telephone and in writing.
- Demonstrated commitment to diversity
- Demonstrated proficiency using MS Office
Preferred Qualifications:
- Bachelors Degree in related field
- Experience with patient-scheduling software and patient flow-management from check-in to check-out, including efficiency in managing multi-line phone system and working effectively between patients and providers
- Experience in dental office management and/or front desk reception including knowledge of HIPPA compliance
- Experience working in a multi-provider clinic
Physical Requirements:
Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.
Additional Physical Requirement:
Light Work: Exerting up to 20 pounds of force occasionally and/or negligible amount of force to constantly move objects. Light work involves remaining stationary most of the time.
