Pay: Range begins at $18 per hour and is commensurate with experience

Work Schedule: 20 hours a week, schedule to be determined

Job Story

The Geology Department is searching for part-time Administrative Specialist to work closely with the Department Chair and faculty to help run an organized and successful academic unit. The department comprises five faculty members (including the Chair), five graduate teaching assistants, and two adjunct faculty.

The ideal candidate is a natural multitasker with a can-do attitude that is solution-focused, resourceful, and unafraid to dive into technology, teaching oneself what is needed to know to stay ahead of the game. Professional communication and collegial behavior is a must.

Job Summary

Performs a variety of professional and administrative duties that facilitate the operations of a function(s), program(s), and/or department(s).

Essential Functions

Supports the programs and services provided by the department(s) by performing varied or related processes which may include creating and maintaining databases and websites, monitoring, facilitating, and enforcing compliance with established criteria, guidelines and standards, etc. May coordinate, attend, prepare materials for and/or take minutes at meetings and special events. May prepare or assist in the preparation of budgets, grant applications, proposals, status reports and/or financial statements. May identify and pursue ways to improve the efficiency and effectiveness of administrative procedures used by students, faculty, visitors and staff. May order and maintain sufficient inventory of office supplies and equipment. May be assigned to lead, assist, coordinate or support special projects as needed.

Job Duties

-Support department programs and services by performing varied or related processes, including assisting in submitting department schedules, employment hires, department budgets, faculty grant applications, proposals, status reports, and/or financial statements.
-Assist with financial reporting and keeping up with staff changes.
-Process billing invoices, reimbursements, customer communication, and help the Chair track department details as needed.
-Order and maintain a sufficient inventory of office supplies and equipment for the department and instructor needs.
-Lead, assist, coordinate or support special projects as assigned.

Required Education and Experience:

  • High school diploma or equivalent
  • Two (2) years of experience in general office, clerical, administrative support or related field

Knowledge, Skills and Abilities:

  • -Strong proficiency in Microsoft Excel and Word
    -Familiar with reporting systems
    -Strong organizational, operations and time management skills
    -Superior communication skills
    -Excellent customer service
    -Excellent attention to detail
   

Physical Requirements:

Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.
