Job Summary
Organizes and supervises student registration and records services for one (1) or more registrar areas.
Essential Functions
Oversees processes and staff involved in records and registration activities. Trains, supervises and evaluates staff members within specific group. Ensures proper customer service and task completion by members of supervisory groups, including cross-training and back-up support. Utilizes various systems to ensure accuracy of records and outcomes. Leads testing and troubleshooting of system issues and upgrades related to tasks of supervisory group. Communicates directly with academic and service department contacts regarding collaborative projects. Provides direction and assistance to other team members on more complex tasks.
Job Duties
- Oversee part of the registration team, guiding day-to-day work while providing training, support, and quality checks.
- Ensure compliance with the National Student Clearinghouse with submitting and reviewing monthly reports, correcting errors, and reconciling degree processes with Clearinghouse records.
- Assist with schedule building and coordinate with academic departments to finalize semester offerings.
- Conduct regular audits, run reports for errors related to degrees and classes, as well as monitor faculty grade entry.
- Serve as a trusted resource for registration-related questions, navigating systems and processes to provide clear answers and solutions.
- Proactively communicate with departments about class submissions, approvals, and changes.
Required Education and Experience:
- 60 hours of college coursework in related field
- Three (3) years of experience in general office, clerical, administrative support or related field.
- One (1) year of experience supervising the work of others.

Knowledge, Skills and Abilities:
- Excellent oral and written communication skills, including proactive communication style
- Commitment to working with students, faculty and staff in a service-oriented manner
- Outstanding attention to detail and problem-solving skills
- Ability to work collaboratively within a specific work group and larger office team
Preferred Qualifications:
- Knowledge or experience with Banner information system
- Experience in an administrative records office at a Kansas Regent's university
Physical Requirements:
Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.
