Job Story

Housed within the College of Applied Studies, the Teacher Apprentice Pathways, Literacy, and Special Education (TALS) department at Wichita State University seeks a dedicated and experienced Office Coordinator to join our team. The TALS Office Coordinator is a vital member of the TALS team, ensuring the day-to-day business functions are managed effectively and efficiently.

The Department of Teacher Apprentice, Literacy, and Special Education (TALS) at Wichita State University is a dynamic hub of innovative and responsive programs designed to prepare educators for the challenges of today's diverse classrooms. TALS offers a range of specialized programs, including Teacher Apprentice Program (the para to teacher pathway leading to license in elementary education and early childhood unified), literacy (structured literacy and dyslexia certificate and Reading Specialist), and special education (high incidence, low incidence, early childhood unified, and elementary unified), all of which are designed to create pathways to becoming or elevating educators.

Job Summary

Coordinates the office activities of a department including the reception area, business operations, and facilities.

Essential Functions

Ensures accurate maintenance of office records, manuals and documents keeping abreast of new policies and procedures and informs appropriate staff of changes. Coordinates all office functions including but not limited to administering staff changes, training, supplies, equipment maintenance, repairs and renovations. Resolves office problems independently and facilitates solutions; confers with supervisor to resolve more complex situations. Coordinates and schedules arrangements for meetings, conferences, and events. Performs clerical duties such as prepares and distributes correspondence, forms, reports, presentation materials and other written communications. May provide ongoing monitoring and tracking of department budget.

Job Duties

The TALS Office Coordinator will serve as the primary point of contact for visitors and individuals seeking information or assistance from the department. Other responsibilities include managing the department budget, Electronic Personnel Action Forms (ePAF) creation and submission, as well as managing grant monies and staff/faculty department and university procedures. The TALS Office Coordinator will also submit invoices; coordinate schedules for meetings, conferences, and events; and will serve as the essential staff for department operations.

Required Education and Experience:

  • High school diploma or equivalent
  • Three (3) years of experience in general office, clerical, administrative support or related field.

Knowledge, Skills and Abilities:

  • Strong organizational skills and ability to manage multiple tasks and priorities, ensuring that deadlines are met and operations run seamlessly.
  • Attention to detail, as this role involves handling various administrative duties that require accuracy and precision.
  • Excellent communication skills (oral and written) are also crucial, as they will be interacting with team members, clients, and external partners regularly.
  • Technical proficiency and familiarity with office software such as Microsoft Office Suite, especially Word, Excel, and Outlook, is necessary.
  • Problem-solving abilities, critical and creative thinking will be needed to address any issues that arise, ensuring that solutions are efficient and effective.
  • Ability to work collaboratively with various personalities and manage relationships within the office environment is important for maintaining a positive and productive workplace.
  • A proactive attitude and the ability to work independently are highly valued.

Physical Requirements:

Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.
