The Kansas Small Business Development Center is tasked with providing assistance to small business leaders in a 12-county area, as well as providing unique applied learning opportunities for our students. This position will help coordinate all of the department's activities and functions.

Job Summary
Coordinates the office activities of a department including the reception area, business operations, and facilities.
Essential Functions
Ensures accurate maintenance of office records, manuals and documents keeping abreast of new policies and procedures and informs appropriate staff of changes. Coordinates all office functions including but not limited to administering staff changes, training, supplies, equipment maintenance, repairs and renovations. Resolves office problems independently and facilitates solutions; confers with supervisor to resolve more complex situations. Coordinates and schedules arrangements for meetings, conferences, and events. Performs clerical duties such as prepares and distributes correspondence, forms, reports, presentation materials and other written communications. May provide ongoing monitoring and tracking of department budget.
Job Duties
Office Operations & Information Flow
· Opening and Closing: Managing the daily physical operational routine of the office.
· Serving as a central hub to ensure all team members have the information they need to be effective.
· Will serve and initiator of invoice payment and order placements.
Student Coordination
· Developing a basic understanding of student projects to provide oversight and ensure they align with office standards.
· Workflow Support: Stepping in to assist students or provide guidance or referral when projects require additional momentum.
· Onboarding & Training: Leading the orientation for new student assistants and training them on office protocols.
· When appropriate, reviewing student work and outputs to ensure professional accuracy and consistency.
Client Relations & Professional Facilitation
· Serving as the professional first point of contact for client inquiries.
· Managing the initial "top of the funnel" communication to ensure no inquiry goes unanswered.
· Coordinating the smooth transition of clients to the appropriate advisors to ensure a seamless service experience.
Events, Training & Logistics
· Organizing team roles and logistics for upcoming workshops or events.
· Acting as the onsite lead to manage logistics, troubleshoot issues, and ensure a high-quality attendee experience.
· Handling the calendar for events and ensuring all necessary follow-up actions are completed.
Marketing Support
· Basic Awareness: Applying a fundamental understanding of marketing to assist with social media distribution, newsletter coordination, or promotional materials.
Required Education and Experience:
- High school diploma or equivalent
- Three (3) years of experience in general office, clerical, administrative support or related field.

Knowledge, Skills and Abilities:
- Excellent communication skills engaging professionalism and confidentiality
- Ability to multitask and prioritize tasks when shifting needs are indicated
- Familiar with utilizing various technology in order to run/maintain office operations
- Knowledge of MS Office for calendars and events management
- Ability to track tasks and needs, providing timely follow up on matters
