Pay: Range begins at $17.73 per hour and can be adjusted based on experience

Work Schedule: 20 hours per week dependent on department schedule

Job Story

The Department of Anthropology at Wichita State University is seeking a detail-oriented and proactive Administrative Specialist to support the department’s administrative operations. As the front-facing team member of the Department of Anthropology, this position plays a vital role in coordinating office functions, processing administration of course scheduling and student support, supporting financial processing, and assisting with departmental initiatives, including the Lowell D. Holmes Museum of Anthropology and the University NAGPRA Initiatives Team.

The anticipated start is January 5, 2026 but is flexible.

Job Summary

Performs a variety of professional and administrative duties that facilitate the operations of a function(s), program(s), and/or department(s).

Essential Functions

Supports the programs and services provided by the department(s) by performing varied or related processes which may include creating and maintaining databases and websites, monitoring, facilitating, and enforcing compliance with established criteria, guidelines and standards, etc. May coordinate, attend, prepare materials for and/or take minutes at meetings and special events. May prepare or assist in the preparation of budgets, grant applications, proposals, status reports and/or financial statements. May identify and pursue ways to improve the efficiency and effectiveness of administrative procedures used by students, faculty, visitors and staff. May order and maintain sufficient inventory of office supplies and equipment. May be assigned to lead, assist, coordinate or support special projects as needed.

• Ensure compliance with departmental standards
• Coordinate meetings and events, including materials and minutes
• Assist with budgets, grants, and financial reporting
• Streamline administrative processes for better service delivery
• Manage inventory and supplies
• Support special projects as needed

Required Education and Experience:

  • High school diploma or equivalent
  • Two (2) years of experience in general office, clerical, administrative support or related field

Required License/Certifications/Training:

  • None

Knowledge, Skills and Abilities:

  • Strong organizational and time management skills with the ability to prioritize and manage multiple tasks efficiently.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with office management systems and tools.
  • Ability to work independently and collaboratively in a dynamic, team-oriented environment.
  • Attention to detail and a proactive approach to problem-solving.
  • Willingness to learn and adapt to new systems, policies, and procedures.
  • Understanding of or interest in supporting academic programs, museum operations, and University compliance-related initiatives.

Preferred Qualifications:

  • Experience in a higher education or research environment preferred.
  • Experience supporting grant administration or working with sponsored programs is a plus.

Additional Information:

Hours (20 hours per week) are flexible to be scheduled within M-F 8 AM – 5 PM.

Physical Requirements:

Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.
