Are you a detail-oriented individual with a knack for organization and a passion for working with students? We are seeking a Records & Registration Specialist who thrives on data accuracy and has a strong background in working with databases. If you enjoy meticulously entering and managing data, analyzing student transcripts, and helping students map their path to graduation, this role is for you!
As a Records & Registration Specialist, you will play a key role in reviewing high school transcripts to determine graduation progress and documenting the courses students still need to complete. You’ll work closely with students to assist them in filling out college applications, scholarship forms, and tuition waiver forms, all while helping them explore other potential financial aid options. You’ll also be the go-to person for credit recovery, helping students navigate their options after failed or non-transferable courses.
In addition to supporting students, you’ll work with regional staff and school districts to gather and update student transcripts in our user-friendly database, ensuring all information is accurate and up-to-date. Your analytical skills will come in handy when discerning between courses with different names but identical content, such as English, Language Arts, and Reading. You’ll also be responsible for providing raw data on student outcomes, helping the team better understand student progress.

Job Summary
Coordinates and facilitates student registration and records services for one (1) or more registrar areas.
Essential Functions
Processes, manages, and troubleshoots transcript, enrollment, and record requests and verifications. May lead and train support staff, as needed. Provides customer service, guidance, and coordination for assigned area of responsibility. Ensures records and/or systems are accurate and reliable. Assists with testing, troubleshooting, and/or providing recommendations for system and/or process upgrades of new technologies as needed. Provides and/or assists with prompt resolution to initial records and registration policy and procedural inquiries or concerns. Researches data and develops activities designed to attain department goals and objectives.
Job Duties
Kansas Kids @ GEAR UP is a state-wide program serving students in foster care, grades 7-12 and first year in college. The Records and Registration Specialist reviews student transcripts and analyses how many high school credits the student has completed towards graduation. They also document what courses are needed. The Records and Registration Specialist also helps students fill out college applications, tuition waiver forms, KKGU scholarship applications and may help search for other forms of financial aid.
Required Education and Experience:
- 60 hours of college coursework in related field
- Two (2) years of experience in general office, clerical, administrative support or related field

Knowledge, Skills and Abilities:
- Strong computer skills.
- Writing, and oral communication skills.
- Able to analyze problems and resolve conflicts.
- Ability to contact school districts and communicate the educational needs of the student in foster care.
- Attention to details & ensure processes are followed.
Preferred Qualifications:
- Bachelor's degree in counseling, social work, mathematics, computer science, business or other related field.
- Two years of experience working with high school or college degree analysis determining if students have met graduation requirements.
Physical Requirements:
Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.
