When students walk into the Student Engagement & Belonging office, whether they’re seeking support, connection, or guidance, the Office Coordinator is often the first face they see and the steady presence that helps them feel welcome and supported. Reporting to the Executive Director, the Office Coordinator is the heartbeat of the department’s daily operations, ensuring that staff, students, and visitors experience a professional, inclusive, and well-organized environment. This role bridges behind-the-scenes logistics with front-facing service, juggling tasks that range from managing the Executive Director’s calendar and preparing meeting materials, to overseeing front desk operations, organizing departmental records, and supporting vibrant campus programs. As a key administrative professional in a student-centered unit, the Office Coordinator helps bring to life the department’s mission to foster belonging, engagement, and success for all students, especially those from historically marginalized backgrounds. The ideal candidate brings not only attention to detail and operational efficiency, but also warmth, patience, and a commitment to equity. In a space where every interaction matters, the Office Coordinator ensures that both the department and the students it serves are set up to thrive.
Job Summary
Coordinates the office activities of a department including the reception area, business operations, and facilities.
Essential Functions
Ensures accurate maintenance of office records, manuals and documents keeping abreast of new policies and procedures and informs appropriate staff of changes. Coordinates all office functions including but not limited to administering staff changes, training, supplies, equipment maintenance, repairs and renovations. Resolves office problems independently and facilitates solutions; confers with supervisor to resolve more complex situations. Coordinates and schedules arrangements for meetings, conferences, and events. Performs clerical duties such as prepares and distributes correspondence, forms, reports, presentation materials and other written communications. May provide ongoing monitoring and tracking of department budget.
Job Duties
• Serve as the first point of contact for students, staff, and campus visitors, providing welcoming and professional front desk experience.
• Manage the front-of-house operations of all office locations
• Hire, train and supervise front desk student assistants
• Manage daily office operations including mail distribution, supply inventory, purchasing, and space organization
• Manage the Executive Director’s and Student Government Leaders calendar, including scheduling meetings, coordinating appointments, and making travel arrangements.
• Assist with meeting preparation by organizing agendas, taking minutes, and compiling materials as needed.
• Support communication and follow-up on behalf of the Executive Director with internal and external stakeholders.
• Respond to general phone, email, and in-person inquiries and direct individuals to appropriate resources or staff members.
• Support departmental staff with special projects, research, and reports as requested
• May supervise a graduate assistant and will supervise student assistants
Required Education and Experience:
- High school diploma or equivalent
- Three (3) years of experience in general office, clerical, administrative support or related field.
Required License/Certifications/Training:
None
Knowledge, Skills and Abilities:
- Ability to organize information/tasks in an efficient manner, attention to detail, meet established deadlines and ability to make accurate decisions.
- Strong communication skills including communicating effectively in written, electronic, and verbal formats; keeping others informed of news, procedures, etc.
Preferred Qualifications:
- Experience working in an educational setting

Reporting to the Executive Director of Student Engagement & Belonging, the Office Coordinator plays a vital role in supporting the daily operations of a dynamic, student-centered department committed to fostering belonging, engagement, and student success. Serving as the first point of contact for students, staff, and campus partners, the Office Coordinator ensures a welcoming environment while providing high-quality administrative and logistical support. The Office Coordinator helps manage office functions, supports programs and events, oversees front desk operations, and assists with departmental processes—all while maintaining a strong focus on service, equity, and efficiency. The Office Coordinator also provides administrative support to the Executive Director as well as senior leaders of the Student Government Association including calendar management, meeting preparation and travel. The coordinator may supervise a graduate assistant and will supervise student assistants
Physical Requirements:
Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.
