Job Story

Some days you’ll be the face of the operation. Other days, you’ll be the person behind the curtain making sure everything works.

You’ll lead the daily operations of the department. We need someone who can look at the operation & evaluate:
What’s working?
What isn't?
What do we need next?
And how can we do this better?

You will interact with customers & need to be service-minded; handle those difficult conversations; and resolve conflicts professionally. You’ll listen when there is a problem but know when it's time to shift gears and get back to the operational work happening behind the scenes. Knowing how to & having interpersonal skills is a must but you know when to step behind the scenes and focus on getting the operation right.

We’re looking for someone who is organized, detail-oriented, adaptable, and genuinely service-minded, understand basic accounting principles, and can negotiate and coordinate with vendors, carriers, and other logistics partners. Manage department resources, adjust as needs change, and help ensure your teams are prepared for what’s coming, not just reacting to what already happened.

You don't have to be an accountant. You do have to understand the numbers, vendor payments, making sure purchases align with contracts and University purchasing policies. You need enough financial fluency to look at the numbers, understand what they’re telling you, ask good questions, and make responsible operational decisions.

Job Summary

Provides leadership and strategic direction for one (1) or more University support services. Monitors department budgets, inventories and operations. Responsible for leading and training University staff in business continuity planning.

Essential Functions

Oversees the daily operations of the department staff, ensuring goal attainment; manages staff work allocation, evaluations and training. Develops, implements and maintains policies, objectives, projects and short and long range planning to accomplish goals. Develops, monitors and adjusts department budget plan(s) as resource requirements change. Maintains accounting system for one (1) or more University support services to provide accurate and appropriate fiscal and production records. Reviews and approves vendor payments for conformity with contracts and purchasing policies. Markets and promotes the services available to the University community. Makes decisions regarding equipment and compiles options and pricing information. Leads and trains campus staff in the maintenance and development of business continuity planning.

Required Education and Experience:

  • High school diploma or equivalent
  • Six (6) years of experience in bookkeeping and inventory control in higher education or related field, with two (2) years of experience in a leadership role. Every 30 hours of college coursework can be substituted for one (1) year of experience.

Knowledge, Skills and Abilities:

  • Knowledge leading administrative or support service operations
  • Familiar with managing budgets and financial resources
  • Ability to supervise and developing staff
  • Knowledge of business continuity planning and risk management
  • Clear and effective communication.
  • Knowledge of vendor management.
  • Deep understanding of logistics
  • Ability to apply policies that govern operations at the local, state & federal level.

Preferred Qualifications:

  • Experience with postal services, logistics, vendor management, budgeting, or University support operations preferred
  • Experience in a higher education, government, or large organizational environment preferred
  • Experience with QuickBooks

Physical Requirements:

Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.
