Job Story
Veteran Student Support Services (VSSS), a federally funded TRIO program at Wichita State University, is seeking a highly organized, customer-focused Administrative Assistant to support the daily operations of the program. This position serves as the first point of contact for students, faculty, staff, and community partners while providing administrative, clerical, and light database support that contributes to the success of military-connected students.
The ideal candidate is detail-oriented, dependable, and enjoys working in a collaborative, student-centered environment. This position plays an important role in maintaining accurate student records, supporting program events, and ensuring compliance with federal reporting requirements.
Job Summary
Job Duties
Provide professional front-office reception and customer service to students, faculty, staff, and visitors.
Answer and direct phone calls, emails, and other communications.
Schedule appointments and maintain staff calendars as needed.
Prepare correspondence, reports, spreadsheets, and other program documents.
Perform data entry and maintain accurate student records in program databases and university systems.
Assist with tracking student participation, services, and outcomes to support federal grant reporting.
Organize and maintain electronic and paper files in accordance with university and federal confidentiality requirements.
Assist with planning and coordinating workshops, orientations, student events, and outreach activities.
Order, organize, and maintain office supplies and program materials.
Support the VSSS team with special projects and other administrative duties as assigned.

Preferred Qualifications
Associate's degree or coursework in business, office administration, or a related field.
Experience with database management, data entry, or student information systems.
Experience working in higher education, TRIO programs, or student services.
Familiarity with military culture and a commitment to serving veterans, service members, and military-connected students.
Experience coordinating meetings, workshops, or special events.

Physical Requirements
Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.
