The NIAR Engineering and Design Modification Team is seeking a highly organized and detail‑oriented Business Operations and Office Manager to support the smooth and efficient operation of our facilities and administrative functions. In this role, you will oversee daily office operations; manage, audit, and process invoices, payments, and travel; and maintain accurate inventory and documentation. The ideal candidate is proactive, resourceful, and skilled in financial coordination, vendor management, and administrative support. Job Summary
Manages facility operations, administrative tasks, and financial logistics. Supports staff with coordination of meeting and events; travel arrangements; and preparing expense reimbursements.
Essential Functions
Oversees daily facility operations, including space planning, equipment maintenance, and/or coordinating material and/or freight shipping.
Manages and processes vendor invoices, expense reports, travel arrangements and documentation, and reconciliation of purchasing card(s); Ensures coordination of timely processing of accounts receivable and payment of expenses.
Ensures compliance with institutional policies, procedures, and regulations.
Monitors and audits inventory levels, and maintains accurate, up-to-date documentation.
Performs and/or oversees administrative support and coordination for meetings, travel, conferences and events.
May assist in the preparation, monitoring, and/or tracking of department budget.
Required Education and Experience:
High school diploma or equivalent
Five (5) years of experience in general office or administrative support with one (1) year of experience in business, finance, or project management. Every 30 hours of relevant college coursework is equivalent to one (1) year of experience.
Knowledge, Skills and Abilities
Ability to resolve issues independently and facilitate solutions
Ability to exercise discretion, confidentiality, and judgment when dealing with matters of a sensitive confidential or personal nature.
Strong Proficiency in Microsoft Office (Word, Excel, Outlook) and data entry, and financial tracking software.
Experience in financial tracking software is preferred.
Excellent organizational, time-management, and interpersonal skills to include verbal and written communication.
Familiarity with export control (EAR/ITAR) preferred.
Physical Requirements
Ability to remain in a stationary position.
Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators.
Ability to communicate with others and accurately exchange information.
