Job Details

The Training and Technology Team at WSU is looking for an Administrative Assistant to join the team!  This is a benefit-eligible position working 20 hours per week.

Job Summary

Performs office support duties of a clerical or administrative nature. Duties may be comprised of general office duties along with some specialized duties.

Essential Functions

Answers, screens and routes phone calls, may include multi-line phone systems. Greets and directs guests. Prepares and distributes correspondence, forms, reports, presentation materials and other written communications, as required. Schedules and supports preparation for meetings, conferences, courses, programs and/or special events. Establishes and maintains filing systems. May order and maintain sufficient inventory of office supplies and equipment.

Job Duties

Timesheet approval
Invoice tracking
Manage building access approval needs
Communicate invoicing needs
Communicate purchasing requests
Respond to customer service tickets and emails
Assist with training upload tasks
Search for grant opportunities
Assist with additional administrative tasks
Assist with onboarding new employees

Required Education and Experience

High school diploma or equivalent

Six (6) months of experience in general office, clerical, administrative support or related field

Knowledge, Skills and Abilities

Energetic self-starter with highly developed organizational skills
Adaptable, and the capacity to multitask in a fast-paced environment
Excellent communication skills (oral and written)
High attention to detail; ability to detect and correct discrepancies in information or records
Ability to handle paperwork accurately and quickly
Familiarity with and experience using Excel, Outlook and Word in a professional setting

Physical Requirements

Ability to move, transport, and/or deliver items, supplies, or equipment. Ability to communicate with others and accurately exchange information. Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to travel in a vehicle for distances including but not limited to across city, county, and state.
