Pay: Range begins at $19.10/ hour and can be adjusted based on experience

Work Schedule: M-F; 8AM-5PM, Occasional evenings / weekends; work is performed on-site and in person.

Job Story

At the heart of our state-of-the-art, 24-operatory Delta Dental of Kansas Foundation Dental Hygiene Clinic, the Clinic Coordinator serves as the face of the clinic and a vital resource for students, faculty, patients, and program leadership.  Working under the general supervision of the Department Chair, this role oversees the day-to-day operations of a busy patient care environment, managing appointment scheduling, facility and equipment coordination, financial accounts, clinic purchasing and inventory processes, and patient records management.

Combining exceptional organizational skills with a welcoming, customer-focused approach, the Clinic Coordinator provides specialized administrative leadership that ensures efficient clinic operations while supporting an outstanding educational experience for students and high-quality care for patients.

Job Summary

Supports the day-to-day operation of the clinic by providing administrative support, which may include front desk coordination, patient scheduling, billing, and collections.

Essential Functions

May confirm insurance coverage, determines necessity for pre-authorization and obtains authorization for scheduled procedures. Determines financial responsibility for services to be provided. Maintains detailed documentation in the patient account record of all billing activities. Maintains documentation of claims processed as part of the daily claims reconciliation process. May manage office supply and equipment purchases and repair. Provides support for front desk by assisting with appointment scheduling, phone calls, and patient collections, as needed.

Job Duties

Responsible for day to day operation of the patient serving, 24 operatory Delta Dental of Kansas Foundation Dental Hygiene Clinic.
Management of the appointment schedule, the facility, the equipment, accounts, clinic purchasing, inventory and processing, and patients records.
Provides specialized and diverse administrative management for the program, supervisor, faculty, students and patients.

Required Education and Experience:

  • 60 hours of college coursework in related field
  • Three (3) years of experience in medical office or related field

Required License/Certifications/Training:

  • None

Knowledge, Skills and Abilities:

  • Proficient with patient scheduling and patient flow management from check-in to check-out, including efficiency in managing multi-line phone system and working effectively between patients and students at front desk and on calls.
  • Excellent written. oral communication and interpersonal skills
  • Knowledge of and competent in HIPPA compliance.
  • Ability to work effectively under time constraints in fast-paced, high stress, multi-tasking environment
  • Ability to perform general accounting procedures.
  • Ability to interface in a personal and professional manner with the public, patients and their family members, students, faculty, and administration, not only face-to-face, but by telephone, in writing, and email.
  • Ability to work effectively in a highly collaborative, engaging, and dynamic environment comprised of individuals with a range of backgrounds, skills, and perspectives.

Preferred Qualifications:

  • Bachelor's Degree in Health Professions or related field.
  • Three (3) years of experience in dental office management and/or front desk reception.
  • One to three years of patient scheduling coordination and patient flow management
  • Experience working in a multi-provider clinic
  • Proficient with Eaglesoft Dental Software
 

Physical Requirements:

Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.

Additional Physical Requirement:

Light Work: Exerting up to 20 pounds of force occasionally and/or negligible amount of force to constantly move objects. Light work involves remaining stationary most of the time.
