As an Academic Advisor - Graduation Specialist, you’ll provide comprehensive advising, support students in planning their academic journeys, track progress toward graduation, and guide decision making that aligns with their goals. You will also be responsible for being the final checkpoint in a students academic journey, ensuring that students are 100% complete with all degree requirements and are ready to don the cap and gown and celebrate their accomplishments!
You’ll also create and implement initiatives that address student needs and strengthen the overall advising experience. Collaboration is key—you’ll work closely with faculty and campus partners to support program goals and ensure students receive coordinated, high quality support.

Job Summary
Provides complex advising for students concerning their academic plans, progress, and academic and career goals in order to assist students in making personal education decisions and meeting graduation requirements. Develops, proposes and creates initiatives that respond to needs. Works collaboratively with campus partners, including but not limited to, faculty to achieve program initiatives.
Essential Functions
Provides a thorough analysis of academic history to ensure future course plans are most efficient time and financial use of students' credit hours. Maintains confidential student records and personal information. Refers students to appropriate campus and community services and resources when needed. Utilizes University student software to perform outreach, intervention, and advising services. Serves as a resource and liaison to faculty and others with regard to all academic policies and procedures, obtaining and providing pertinent information, and answering inquiries concerning students.. Reviews and optimizes procedures as needed. Develops, implements and manages systems in support of departmental processes that may include but are not limited to, athletic verifications, degree audit coordination, transfer evaluation process, transcript review and application review process for undergraduate programs. Advises leadership on the status of current activities and additional or expanded program requirements; makes recommendations for solutions to problems identified. Assists in the development of and participates in recruitment and retention activities related to the student population such as monitoring educational progress, coordinating outbound communication to current and prospective students, hosting events, providing application or other assistance. Conducts or participates in seminars, workshops or orientation sessions for students on academic, career and personal success strategies and other group activities. Coaches, develops and provides direction and assistance to other team members. May serve as department leadership at the College level, as needed or requested.
Job Duties
- Regularly meet with students to discuss course registration, degree requirements, and academic plans to help meet student personal, academic, and professional goals.
- Regularly audit student applications for degree to verify graduation requirements are met, work with students to correct any outstanding requirements.
- Assist with planning of commencement ceremonies each semester as needed.
- Utilize student advising technology platforms to maintain accurate student records, track appointments, proactively work with students to identify areas of need, and issue referrals to other areas on campus as needed.
- Assist with student focused events, celebrations and Barton School experiences.
Required Education and Experience:
- High School diploma or equivalent.
- Five (5) years of experience in student facing, academic advising for limited-capacity, competitive entry programs in higher education which includes transcript evaluation

Knowledge, Skills and Abilities:
- Demonstrated advising/student services experience with strong student-facing judgment and follow-through.
- Ability to operate in a proactive, technology-enabled advising environment (campaigns/alerts/messaging; workflow discipline; documentation hygiene).
- Ability to translate system signals into clear interventions (outreach, escalations, referrals) and document outcomes consistently.
- Strong communication, organization, and student-centered service orientation.
Preferred Qualifications:
- Bachelor's degree or higher in related field
Physical Requirements:
Ability to remain in a stationary position. Ability to communicate with others and accurately exchange information. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators.
