Pay: $16.50/hour and can be adjusted based on experience

Work Schedule: Monday-Friday, 8am-5pm

Job Story

The Administrative Assistant for Student Engagement & Belonging supports daily operations and creates a welcoming front‑office experience for students, staff, and campus partners. This position answers, screens, and routes phone calls; greets and assists visitors; and serves as a primary point of contact for the office. The Administrative Assistant prepares, edits, and distributes correspondence, reports, forms, and presentation materials; schedules and coordinates meetings, programs, and special events; and maintains organized electronic and physical filing systems. The role may also order, track, and manage office supplies and equipment and perform a variety of clerical and secretarial duties to support unit operations. Through strong communication, organization, and customer service, this role strengthens student engagement efforts and supports a culture of belonging across campus.

Job Summary

Performs office support duties of a clerical or secretarial nature. Duties may be comprised of general office duties along with some specialized duties.

Essential Functions

Answers, screens and routes phone calls, may include multi-line phone systems. Greets and directs guests. Prepares and distributes correspondence, forms, reports, presentation materials and other written communications, as required. Schedules and supports preparation for meetings, conferences, courses, programs and/or special events. Establishes and maintains filing systems. May order and maintain sufficient inventory of office supplies and equipment.

Job Duties

  • Answer, screen, and route incoming phone calls using a multi‑line phone system; provide accurate information and direct inquiries to appropriate staff or resources.
  • Greet, assist, and direct students, visitors, and campus partners, ensuring a welcoming and professional front‑office experience.
  • Support student engagement and belonging initiatives by assisting with communications, event preparation, and follow‑up tasks.
  • Communicate and collaborate effectively with students, staff, and campus partners to support office operations.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Identify and resolve routine administrative issues and recommend improvements to office processes as appropriate.
  • Provide direct administrative support to the Executive Director and Senior Leadership of the Student Government Association

Required Education and Experience:

  • High school diploma or equivalent
  • Six (6) months of experience in general office, clerical, administrative support or related field

Required License/Certifications/Training:

  • None

Knowledge, Skills and Abilities:

  • Knowledge of general office practices and procedures, including clerical, administrative, and customer service functions
  • Knowledge of office technology such as multi‑line phone systems, computers, printers, and standard office software (e.g., word processing, spreadsheets, email, calendaring)
  • Knowledge of recordkeeping and filing systems, both electronic and physical
  • Knowledge of basic meeting and event coordination logistics
  • Knowledge of confidentiality standards and appropriate handling of sensitive information
  • Knowledge of higher education or student services environments and an understanding of student‑centered support services
  • Ability to communicate effectively with students, staff, and external stakeholders from diverse backgrounds
  • Ability to prioritize work, meet deadlines, and adapt to changing office needs
  • Ability to follow established procedures and apply sound judgment when addressing routine issues
  • Ability to learn new systems, processes, and policies
   

Physical Requirements:

Ability to remain in a stationary position. Ability to operate a computer and other office equipment including but not limited to phone, printers, copiers, and calculators. Ability to communicate with others and accurately exchange information.
